Why Stripe payouts never match your bank — and how to reconcile them
A single Stripe or Razorpay payout bundles many payments, minus fees, refunds and disputes. To reconcile, break each payout into its line items using the gateway's payout report, match each payment to its invoice, and post fees as a separate expense.
Why the numbers don't line up
Your bank sees one deposit. Your accounting tool has ten paid invoices. The gap is fees, refunds, currency conversion and timing.
Reconcile a payout in four steps
- Download the payout's balance transactions from the gateway.
- Match each charge to its invoice by amount, customer and reference.
- Post gateway fees and FX differences to their own expense lines.
- Confirm the net total equals the bank deposit, then close it.
Common traps
- Partial payments marked as fully paid.
- Refunds from last month deducted from this month's payout.
- Customers paying two invoices in one transfer.

Questions
Why is my Stripe payout less than my sales?
Payouts are net of processing fees, refunds and disputes, and may include payments from several days.
Can bank reconciliation be automated?
Yes. Matching by amount, customer and reference handles most lines; unclear ones should go to a human for review.
